Support Officer-Receptionist
Based in Samneua, Houaphanh Province, Lao PDR

In Houaphanh SNV is focusing on two programs; (1) Bamboo and (2) Lowering Emissions from Lao Forest (LEAF).
Responsibilities
Reception of Requests
- Receive questions, requests and orders from internal clients, assess and define the question and when necessary dispatch the order, based on work instructions and guidelines from supervisor
Provision of Information
- Provide internal clients information on (progress of) facility and support related subjects and answer their questions, based on agreements with supervisor
Office support activities
- Welcome visitors and guests, provide coffee/tea, photocopy, bind and archive of documents, carry out elementary administrative tasks (register of receipts, invoices and log keeping) based on work instructions
Meeting room facilities
- Book and record bookings for meeting rooms, (support in) set up of meeting rooms and office functions and move furniture in the office, based on directions of users and guidelines on usage of equipment
Stationary and mail
- Record and distribute stock as required, ensure adequate supply of stationary and take care of all incoming and outgoing mail and collect deliveries, based on work instructions and from approved stationary suppliers
Telephone and reception
- Answer and put through incoming calls, handle and register incoming mails and faxes, connect outgoing calls and send faxes when needed, as well as welcome and register visitors and maintain the telephone list, based on work instructions and requests of employees
Logistic and purchasing support
- Ensure vehicle movement in Houaphanh & Xiengkhouang provinces
- Arrange small purchases like office supplies and caterings etc for value <=100$ or equivalent to LAK 1 million
Petty cash management
- Maintain bookkeeping /record daily petty cash transactions
- Ensure cash monthly reconciliation
Other supports
- Support other colleagues (GSO/LO) where needed
Candidate profile
- Basic knowledge and skills in accounting
- At least 2-3 year of experience in office management & administration
- Able to communicate in English and Lao
- Experience in using Word, Excel and using emails
- Good communication skills
- Service orientation with a smile
- Well aware of security and safety matters
- Intercultural sensitivity
- Ability to learn
- Ability to organise the work well
- Accuracy to follow up communication flows (from delivery of messages to ensure that telephone is well functioning)
Contract Duration: 1 year contract with possibility of extension.
